1. Introduction

These Terms and Conditions (“Terms”) govern the relationship between Epoch Voyages LLC (“Epoch Voyages,” “we,” “us,” or “our”) and you, the purchaser or traveler (“Client,” “passenger,” “you,” or “your”). By planning or purchasing travel with Epoch Voyages, you agree to be bound by these Terms and acknowledge that Epoch Voyages acts solely as a booking agent for disclosed third-party suppliers, including but not limited to tour operators, cruise lines, hotels, airlines, air charters, bus companies, ground transportation providers, boat owners or operators, and other independent contractors providing accommodations, transportation, and related services (“Supplier(s)”). Epoch Voyages is not the source or provider of the travel services. These Terms include warranties, disclaimers, and limitations of liability that may restrict your rights and remedies and provide protection to Epoch Voyages LLC.

2. Use of Epoch Voyages Services, Access, and Information for Travel Bookings

You represent that you are at least 18 years of age and have the legal authority to enter into this Agreement and to make travel bookings with Epoch Voyages. You agree to be financially responsible for all travel arrangements made on your behalf and warrant that all information supplied by you for yourself or others is true and accurate. You agree that you will only make legitimate reservations or purchases with Epoch Voyages and its Suppliers and acknowledge that speculative, false, or fraudulent reservations are prohibited.

All bookings are accepted by Epoch Voyages solely as an agent for the Suppliers named in your itinerary. Separate Supplier terms and conditions will apply to each reservation, and you agree to abide by all terms and conditions imposed by the Supplier selected for your travel services.

Epoch Voyages is an Independent Contractor of WorldVia® Travel Network, a member of Travel Leaders Network. Seller of Travel: CA 2073234-40, FL ST36257, WA UBI 602864166, IA 924, NV 240000021. Registration as a seller of travel does not constitute approval by the State of California.

Epoch Voyages assumes no responsibility for costs or issues associated with travel arrangements you make independently of Epoch Voyages, including airline tickets, hotels, excursions, or travel protection.

3. Right to Correct Errors / Offers Subject to Availability

We reserve the right to correct clerical or pricing errors at any time. All offers, incentives, and Supplier promotions are subject to availability and may change without notice. You are encouraged to confirm reservations early to avoid disappointment, fare increases, and late-booking fees.

4. Payments, Cancellations, and Changes to Bookings

You are responsible for all charges, fees, duties, taxes, and assessments arising from travel booked through Epoch Voyages. By submitting payment information to Epoch Voyages, you authorize Epoch Voyages to use your payment method to purchase travel products from our Suppliers on your behalf.

Chargebacks. Except in cases of verified fraud, you agree not to dispute or charge back any payment to avoid Supplier cancellation penalties or other fees resulting from itinerary changes beyond Epoch Voyages’ control. Should you initiate an improper chargeback, you will remain liable for the original amount plus any associated costs, including attorney fees.

Payments and Refunds. Final payment is due per each Supplier’s terms. Failure to make timely payment or to comply with a Supplier’s policies may result in cancellation of your booking, denial of service, or forfeiture of funds. Certain reservations are non-refundable once paid. All cancellation or change requests must be submitted in writing. Supplier and agency penalties may apply and will be charged to the payment method provided.

When you receive confirmations or travel documents, you must review all details immediately and notify Epoch Voyages in writing of any errors within 24 hours of receipt. After that window, corrections are subject to Supplier availability and additional costs.

Currency Fluctuations. Prices quoted in foreign currency are subject to change until paid in full. Banks or credit-card issuers may apply foreign transaction fees, which are your responsibility.

5. Travel Documents and Identification Requirements

You are solely responsible for obtaining and carrying all required travel documents (passports, visas, health forms, etc.). The TSA and DHS require acceptable identification to board any flight; details are available at tsa.gov. Names, dates of birth, and gender information must exactly match your travel documents.

Many countries will not admit travelers whose passports expire within six (6) months of entry. Non-U.S. citizens must determine what documentation is required and notify Epoch Voyages if traveling on a non-U.S. passport. Epoch Voyages is not responsible for visa denials, entry refusals, or losses due to missing or invalid documents.

Children and minors require appropriate identification and, when applicable, notarized consent forms. Review guidance at help.cbp.gov.

6. Entry and Exit Requirements

Each country determines its own entry rules. Travelers with prior criminal offenses (including DUI/DWI) should consult the destination’s consulate before booking. Information is available from the U.S. State Department at travel.state.gov.

7. Immunizations and Health

You are responsible for obtaining recommended or required vaccinations and carrying proof where needed. Check current guidance from the CDC (wwwnc.cdc.gov/travel) and the U.S. State Department before travel. Epoch Voyages is not responsible for incomplete or inaccurate medical documentation or denied entry related to health formalities.

8. Air Travel and Check-in

Your airline ticket is a contract between you and the carrier, even when booked by Epoch Voyages. Epoch Voyages is not responsible for airline policies, schedule changes, seating, baggage fees, cancellations, or insolvency. Any refunds for air travel must come directly from the airline.

Arrive at least 2 hours before domestic and 3 hours before international departures. Reconfirm flight times 24–72 hours in advance. Frequent-flyer miles and upgrades are subject to airline discretion and not guaranteed.

9. Hazardous Materials

Federal law prohibits passengers from transporting hazardous materials in baggage or on their person (49 U.S.C. 5124). Penalties may include fines and imprisonment. See the current list at tsa.gov/travel/security-screening/prohibited-items.

10. Insecticide Notice

Some countries require aircraft cabin disinsection. See the U.S. Department of Transportation list at transportation.gov/airconsumer/spray.

11. Risks and Safety

Travel to certain destinations involves risk. Review advisories at state.gov, cdc.gov, and step.state.gov. Enrollment in the Smart Traveler Enrollment Program (STEP) is encouraged. By purchasing travel to a destination, you assume all associated risks, including illness, injury, or delays beyond our control.

12. Force Majeure

Epoch Voyages is not liable for failure or delay in performance due to acts of God, war, terrorism, pandemic, civil unrest, labor strikes, government restrictions, weather, or any other event beyond its control. Each Supplier maintains its own Force Majeure policies; refunds or rescheduling are at their sole discretion. Travel insurance is strongly recommended for all bookings.

13. Client Conduct

You are responsible for any damage or loss caused by you during travel. Payment for such damage must be made directly to the Supplier. You agree to indemnify Epoch Voyages for any resulting claims or costs. Epoch Voyages and its Suppliers reserve the right to remove any traveler whose behavior endangers themselves or others, disrupts operations, or violates laws. No refund will be given. You are responsible for knowing and complying with all drug and prescription-medication laws in destinations visited.

14. Travel Insurance

Epoch Voyages offers access to travel insurance to help protect travelers and their investment. Unless specifically stated, insurance is not included in trip costs. Without insurance, you may forfeit payments due to cancellation, delay, illness, or Supplier default. Epoch Voyages is not an insurance broker and cannot guarantee coverage or adjudicate claims. If you decline to purchase insurance, Epoch Voyages may require a signed waiver.

15. Limitation of Liability and Disclosure

Epoch Voyages acts solely as a booking agent for independent Suppliers and has no control over their operations. You agree that Epoch Voyages is not liable for injury, loss, accident, delay, or irregularity resulting from acts, omissions, negligence, or default of any Supplier or third party. Epoch Voyages’ total liability, if any, shall not exceed the amount of commission and fees actually earned by Epoch Voyages for the services in question.

16. Governing Law and Venue

These Terms are governed by the laws of the State of Minnesota. Exclusive venue for any dispute shall lie in the state or federal courts located in Dakota County or Hennepin County, Minnesota, at Epoch Voyages’ sole discretion, and you consent to personal jurisdiction in those courts.

17. Changes to These Terms

Epoch Voyages reserves the right to update or modify these Terms at any time. Updated versions will be posted on our website and become effective immediately upon posting.

18. General

If any provision of these Terms is found invalid or unenforceable, it will be replaced by a valid clause most closely matching the original intent, and the remainder shall continue in effect. These Terms constitute the entire agreement between the Client and Epoch Voyages regarding travel arrangements and supersede prior communications.
